Sign in with Google

Your Google account is the connection — no extra password. We request Tasks access so your lists can sync both ways.

Create a workspace

Make a team workspace, or start from your personal board. Shared boards use a designated Google account as the team owner of those tasks.

Invite and assign

Copy an invite link for a teammate. Assign tasks on the board. Everyone sees updates live; Google Tasks stays in sync.

What's in the beta

The team layer Google Tasks is missing

This is a private beta of the core: two-way sync, workspaces, shared boards, and assignees. Features below are what ships today — not a roadmap dressed up as a product.

Two-way Google Tasks sync

Create, edit, complete, and delete in the app or in Google. Edits push to Google right away. Google-side changes pull about every 10 seconds while the board is open (and as soon as you come back to the tab), otherwise about every 10 minutes — or immediately with Sync now.

Shared boards

Kanban columns the whole workspace can see and edit. Shared boards are backed by a team Google account so there is one source of truth in Google Tasks.

Assignees

Assign a task to a workspace member. Assignment lives in Team Tasks — Google Tasks has no assignee field — and still syncs title, notes, due date, and done state.

Workspaces and roles

Owner, admin, and member. Admins invite and manage people; members work the boards. Each workspace is isolated from the others.

Invite by link

No email sender yet. An admin creates an invite for an address, copies the link, and sends it themselves. The invitee must sign in with that Google account.

Live board updates

When someone on the board adds, moves, assigns, or completes a task, everyone else sees it without refreshing.

Personal board

Sign in and you get a personal board backed by your own Google Tasks, plus any team workspaces you join.

Tenant isolation

Workspace data is isolated with Postgres row-level security. Google refresh tokens are encrypted at rest with AES-256-GCM. Details in the Privacy Policy.

Honest about what isn't here

No comments, labels, calendar overlay, email-to-task, billing, offline app, or public API in this beta. Those are later. We will not list them as if they shipped.

Your Google Tasks stay yours

Team Tasks does not replace Google Tasks. Title, notes, due date, and done state flow both ways. Assignees and workspace membership stay in Team Tasks because Google has no place to put them. We request Tasks access only — not Gmail, Drive, or Calendar. Details in the Privacy Policy.

  • Check off a task in the Gmail sidebar — it moves on the board within about 10 seconds if the board is open, or as soon as you come back to the tab

Questions, answered

Can you share Google Tasks with your team?

Not with Google Tasks alone — Google has no sharing for task lists, so they stay personal. Team Tasks adds the sharing layer: a shared board is backed by a designated team Google account, everyone in the workspace works the same board, and changes sync both ways with Google Tasks.

Does Google Tasks have a kanban board view?

No. Google Tasks shows flat lists in the Gmail and Calendar sidebars and its mobile apps. Team Tasks gives those same tasks kanban columns with assignees and live updates, while each task remains an ordinary Google Task underneath.

Can you assign a Google Task to someone else?

Google Tasks has no assignee field. In Team Tasks you assign tasks to workspace members; the assignment lives in Team Tasks, and the task itself — title, notes, due date, done state — keeps syncing with Google.

Is Team Tasks an alternative to Trello or Asana?

Only for teams that live in Google Tasks. Trello and Asana are full project suites that replace your task system. Team Tasks is deliberately smaller: it turns the Google Tasks you already use into a shared team board, so tasks stay in Gmail, Android, and iOS while the team gets boards, assignees, and workspaces.

Do my teammates need to change how they work?

No. Anyone can keep using Google Tasks in Gmail, on Android, or on iOS. Team Tasks syncs both ways, so board changes show up in Google and vice versa. Assignees and workspace membership live in Team Tasks because Google Tasks has no team layer.

How fast is the sync?

Edits in Team Tasks show up for everyone on the board immediately and are queued to Google. Changes made in Google Tasks are pulled about every 10 seconds while the board is open, or as soon as you return to the tab. Unattended boards refresh about every 10 minutes, or immediately if you hit Sync now.

What Google permissions does Team Tasks need?

Sign-in profile (name, email, photo) and Google Tasks read/write. We do not request Gmail, Drive, or Calendar.

Google says the app isn't verified. Is that expected?

Yes, during private beta. Sensitive Google Tasks access requires a verification review we have not completed. Testers may see a warning screen. You can revoke access any time at myaccount.google.com/permissions.

Can I invite people by email?

Not yet. An admin creates an invite and copies a link to send however they like. The invitee must sign in with the Google account that matches the invited email.

Is this a paid product?

Not yet. Private beta is free. If we introduce paid plans we will give notice in the app and on this site before charging anyone.

What happens to my data if I stop using Team Tasks?

Your tasks already live in your Google account and stay there. Workspace membership, assignees, and board layout live in Team Tasks until you leave or we delete the workspace at your request. Email support@team-tasks.io for a copy or a deletion request.

Is there an API, offline mode, or a desktop app?

Not in this beta. The native Google Tasks apps still work because of two-way sync. Comments, labels, calendar overlay, and billing are also later — not missing-by-accident features of a finished product.
