Team Tasks vs TasksBoard
Both keep your tasks in Google Tasks. They share them in very different ways. An honest comparison — including where TasksBoard is the better choice.
Both are independent apps built on the Google Tasks API, and both keep your tasks as real Google Tasks. The difference is how they share. TasksBoard shares lists and boards between individual Google accounts: every collaborator gets their own copy of a shared list in their Google Tasks, and TasksBoard keeps the copies in sync.
Team Tasks organizes people into a company and its departments. A shared board lives once, in a designated team Google account, with owner, admin, and member roles — and Team Tasks' servers keep it in sync with Google whether or not anyone has it open.
Pick TasksBoard if you want the established product, a free plan, or a few lists shared between a few people. Pick Team Tasks if you are setting up a whole team and want departments, roles, comments, and a bill that stays at $2 per user.

How each one shares Google Tasks
TasksBoard shares lists between people. When you share a list, each collaborator gets their own copy of it in their own Google Tasks, and TasksBoard reconciles the copies. That has a real upside: a shared list shows up in every collaborator's Gmail sidebar and Google Tasks app, and TasksBoard writes assignees and labels into each task's notes so they travel with it. The trade-off, which TasksBoard's help center states plainly, is that Google Tasks does not notify apps about changes — so an edit made in Gmail or the Google Tasks app reaches the others only when someone on the list next opens TasksBoard. Removing a collaborator leaves them with a copy of the list as it was.
Team Tasks shares boards within a company. A shared board lives once, in a designated team Google account, and each column is one of that account's Google Tasks lists. Team Tasks' servers keep it in sync: board edits are pushed to Google right away, and Google-side changes are pulled about every 10 seconds while the board is open and about every 10 minutes otherwise — so the board stays current even when nobody has it open. Because the tasks belong to the team account, they stay with the team when someone leaves. Assignees, comments, and labels live in Team Tasks, because Google Tasks has no place to store them.
Where TasksBoard is the better choice
TasksBoard is the established product here, and for plenty of people it is the right one. It is free to start: the free plan gives you a full-screen kanban board over your Google Tasks, the Chrome extension, and up to 5 shared lists you own — enough for a couple or a small group sharing a few lists, at no cost. Team Tasks has no free plan.
Its paid plans also go places Team Tasks does not: Google Drive attachments, export to Google Sheets, printing a board, turning text or voice into tasks with AI, and task priorities — and on the Team plan, routing tasks assigned from Google Docs and Chat into a shared list, plus an API, webhooks, and a Zapier app. It is listed on the Google Workspace Marketplace, and because every collaborator gets a copy of each shared list, shared tasks appear in each person's own Gmail sidebar and Google Tasks app.
If what you need is to share a few lists between individuals, rather than to set up a team, TasksBoard is a fair choice and probably the cheaper one.
Where Team Tasks is the better choice
Team Tasks is built for a different job: setting up a team, not sharing lists between individuals. A company is divided into departments — Sales, Operations, and so on — each with its own boards and members, with owner, admin, and member roles and one company bill. Any task can be assigned to a department member and discussed in comments with @mentions, and you get list, table, and calendar views, a My Day agenda across departments, board reports and a dashboard, and an installable web app that works offline.
The sync model suits a team, too: one copy of each shared board in a team-owned Google account, kept current by Team Tasks' servers whether or not anyone has the board open.
And at team size it costs less. Everyone who joins a shared board in TasksBoard needs a paid plan, so ten people on TasksBoard's Team plan pay $49.90 a month billed yearly ($59.90 billed monthly). Ten people on Team Tasks pay $20 a month. Team Tasks is the cheaper option from three people on shared boards; for two people on yearly billing, TasksBoard Pro is slightly cheaper.
What you give up: a free plan, maturity, a Chrome extension, Drive attachments, and Zapier. Team Tasks is a new product and says so plainly — and Google may show an unverified-app warning until our OAuth review completes.
Can you switch between them?
More easily than with most tools, because both keep your tasks in Google Tasks — trying one does not lock you out of the other. There is no TasksBoard importer, but lists in the Google account you connect as the team account can be linked to a Team Tasks shared board as columns, and Team Tasks' CSV import covers anything else. TasksBoard keeps labels and assignees as text in each task's notes, so those come across as notes text rather than as Team Tasks labels and assignees.
Frequently asked questions
What is the difference between Team Tasks and TasksBoard?
Both are independent apps built on the Google Tasks API, and both keep tasks as real Google Tasks. TasksBoard shares lists and boards between individual Google accounts: each collaborator gets their own copy of a shared list, which TasksBoard keeps in sync. Team Tasks organizes a company into departments with roles, and each shared board lives once, in a designated team Google account that Team Tasks' servers keep in sync. TasksBoard has a free plan; Team Tasks costs $2 per user per month with a $10 monthly minimum, after a 14-day free trial.
Is TasksBoard free?
Partly. As of October 2026, TasksBoard's free plan includes a full-screen kanban board, Google Tasks sync, the Chrome extension, and up to 5 shared lists you own. Shared boards, multiple boards, labels, calendar view, and repeating tasks need Pro ($4.79 a month billed yearly, or $5.99 monthly) or Team ($4.99 per user per month billed yearly, or $5.99 monthly), and everyone who joins a shared board also needs a paid plan.
Does TasksBoard sync shared lists in the background?
Shared lists sync in real time while TasksBoard is open. According to TasksBoard's help center, a change made in Gmail or the Google Tasks app reaches the other collaborators the next time anyone on the list opens TasksBoard. Team Tasks syncs shared boards on its servers: about every 10 seconds while a board is open and about every 10 minutes otherwise, even when nobody has the app open.
Which is cheaper for a team, Team Tasks or TasksBoard?
It depends on team size. Sharing a few lists between a few people is free on TasksBoard. For shared boards, everyone on TasksBoard needs a paid plan from $4.79 a month, so Team Tasks — $10 a month for up to 5 people, then $2 per user — costs less from three people up. Ten people pay $49.90 a month on TasksBoard's Team plan billed yearly, or $20 a month on Team Tasks.
Can I move from TasksBoard to Team Tasks?
Yes. TasksBoard keeps your tasks in Google Tasks, so there is nothing to export: lists in the Google account you connect as the team account can be linked to a shared board as columns, and CSV import covers anything else. TasksBoard stores labels and assignees as text in each task's notes, so they arrive as notes text, not as Team Tasks labels and assignees.
